    December 5, 2024, Meeting Minutes

    9 voting members were present.

    Meeting called to order at 7:30 PM by Treasurer

     

    November 7, 2024, minutes were accepted with no changes.

     

    Treasures Report:

    • Current Membership as of December meeting: 140.
    • Previous Balance $22,626.81.
    • Current Balance $16,927.98.
    • Groomer Fund (Savings) $40,309.00.
    • Expenses of $6,136.83 and Deposits of $438.00.
    • Total Funds: $57,236.98.

    Secretary Report: A conflict was discovered from the September Bylaw proposal #2 to amend Article 7, Section 2 – Annual Year End Review Meeting.  The proposal to change “The Annual Year End Review Meeting… to coincide with the normal April May meeting at the beginning of the fiscal calendar year.” conflicts with the Fiscal calendar year Article 6 Section 1 Defining Fiscal year.  It also conflicts with Article 7 Section 5 Meeting Dates and Times.  None of these were listed in the proposal to amend.  The secretary placed a bylaw change on the table discussion to strike the September by-law amendment Proposal #2.

    All present were in favor of striking the proposed conflicting amendment.

    Trail Projects:

    • Many of the signs are up but we still have more to do and need help.
    • Mudge Creek –DOT replied with a list of requirements that we are reviewing.
    • C4 in port Gibson has had numerous landowner changes in the past few months. Signing has been done and the new owner is the previous renter.
    • Did not get an update on the trails that need to be brush hogged.
    • Need to call our fuel delivery to get the Fuel tank at the barn filled. We will evaluate the other tank in January pending snow.

    Groomer Committee Report:

    • GPS Units for Pilot program have been installed. Need to be tested by the vendor.
    • Fuel leak on the PB needs a new line. Getting it ordered to be installed.

    Miscellaneous:

    • Open House at Yarrows on November 30th resulted in 3 new members and about $130 from 50/50 raffle and food sales. Thanks Ted, Jared, and Dale for attending.
    • 501(c)(3) status: Waiting on the government response.
    • EOY check list for Phase III grant needs to be compiled.
    • To attract more help with the club the following was proposed:
      • A motion was made by Jeremy and seconded by Todd to give a one (1) year club membership to people who work with a trail boss and put in 8 or more hours of trail work. The motion passed unanimously, and we will be posting and emailing members with full details.
