April 4, 2024, Annual Meeting Minutes

17 of which 15 voting members were present.

Meeting called to order at 7:35 PM

 

March 7, 2024, minutes were accepted with no changes.

 

President/Vice President Report: Election Results were presented as follows:

• Treasurer Steve D. (1-year term)
• Secretary John R. (1-year term)
• BOD           All 1-year terms except as noted) Rich R., Tim C., Mike M., Bryan K., and Jeremy M (2-year term)

Treasures Report:

• Final 2023-24 Membership: 255. Current Membership 4.
• Previous Balance $27,359.78. FY beginning Balance: 3/30/23 Balance $16,680.38.
• Current Balance $22,645.07
• Groomer Fund (Savings) $33,110.51. FYTD Deposits to savings $9012.97.
• Expenses of $8,199.75 and Deposits of $3,485.04. FY Exp $61,248.72, FY Dep $67,213.41.
• Total Funds: $55,755.58.

Trail Projects:

• Mudge Creek – Getting additional contractor quotes so we can start the project.
• A motion was made by Bryan and seconded by Andy to level and grade rough spots on C4 along 104 in August with a dozer not to exceed $3,000. Motion carried with 11 in favor and 4 against.

Groomer Committee Report:

• Need update from Rich on the old Erie club roller that may be available for our use.
• Need to add diesel bio-guard and stabilizer to the groomers.
• Need to make sure the battery tenders are on the groomers to keep them charged and maintained.
• Need Logbooks put in each Groomer to minimally log Beginning and Ending Hours on each machine for auditing.

Miscellaneous:

• A motion was made by Jeremy and seconded by Dave for Dates Excavating to donate $800 in exchange for 2 of our trusses. Motion unanimously passed with Jeremy to facilitate.
• A motion was made by Bryan and seconded John to allow up to $3,000 to be used to hook up town water to the barn if the Town of Huron water project gets scheduled for this summer. Motion unanimously approved.  Restroom needs to be completed along with a sink.  Still need a new toilet.  A new sink has been donated.  Need volunteers to install.
• 501(c)(3) status –Resubmitted the long form. We should know full details within 6 months.  Taxes should be filed as well as an accountant procured.
• Fender flares are not yet installed on UTV. Ted to follow up.
• Approved a May 2^nd cookout of hot dog and hamburgers with dish to pass at 6pm to coincide with the Club Raffle to raise funds for the groomer barn improvements.
• Report form the ATV/UTV committee stated positive feedback from county supervisors as well as input from sheriff department for possible trail development along Hojack trail to connect with Cayuga County. County also involved with possibility to open some roads in towns as well to access POIs.
• KDP (Keurig/Dr Pepper) Dollars for Doers was presented by Sam for donated hours. The secretary will get the employee donated hours so that they can be turned in and our club gets $100 for every 10 hours of volunteer work for a max of $300.
